DUTIES AND RESPONSIBILITIES
  • Assist and assume the role of Front Office Manager in the operation of Front Desk and provide supervising, organizing, directing and coordinating the staff from Concierge, Telephone and Business Center.
  • Exercise control over all other Front Office staff in the absence of their respective supervisors.
  • Welcome, Check-in and Check-out guests, followed by standard operating procedures

  • Check guestrooms assigned for arrival guests thoroughly before the guest arrive.
  • Be very conversant with contracts issued to guests in order to properly exercise offering allowance such as Food and Beverage, Laundry, Room Rate to guests, as and when necessary.
  • Represent the Management to solve guest complaints concerning services from all areas of operation, guest requests and comments (especially after office hours).
  • Record accurately all complaints, incidents accidents and problem solved into the logbook for respective Department Head’s attention in order that they can follow up properly.
  • Ensure that all registration cards are printed and vouchers are issued to guest, according to reservation and special requests by guests to meet their needs.
  • Welcome and bid farewell to all VIP guests and to escort VIP guest to room.
  • Ensure that the Front Office area, Storage room, Lobby area, Business Center, Telephone room and Main entrance are kept clean at all times. Moreover, make sure that hotel driveway must always have no traffic congestion.
  • Make regular round check to Concierge Counter, Lobby, Business Center, Telephone room and Entrance area that all Front Office staff and others adhere to hotel policies and departmental policies.
  • To check all staff during the night shift are doing proper work as per standing instructions of their immediate superior as well as to enforce any special instruction or special assignment given to the Night Front Office Assistant by respective Head of Department.
  • To supervise operation of the hotel in general and represent management when decisions must be made during these hours.
  • To ensure that the event board are put up by the Guest Service Agent accordingly and accurately according to event orders.
  • To ensure that the night housekeeping attendants do their schedule routine tasks.
  • To enact night security of the overall hotel premise.
  • To assist the Night Auditor to check all bill and summary report from all outlet.
  • To assist the Night Auditor where possible and assist in the printing of the Management report for the next day.
  • To perform any other related duty as assigned by their direct superior, the management of the Hotel or company policy.
  • To follow up on all “due out” or expected departure guests and also Housekeeping discrepancy report.
  • To follow up weekly complimentary order for in-house long term guests.
  • To double check all check-in details entered in the system.
  • To check the occupied room rate standing charges and ensure that all correct rates are keyed in.
  • To ensure that the function in banqueting area for the day are displayed on sign-board.
  • To check the blocking of rooms for in-coming VIP, FITs and groups.
  • To do periodical checks in order to know the current occupancy and room availability.
  • To stop and prevent any undesirable females from going up to the guest rooms. This is to be done with the assistance of security personnel.
